Guide to using Zotero reference management software

How can I make the Zotero button appear on the browser beside the search bar?

The Zotero 'button' is a 'Connector', which allows you to quickly ‘capture’ the reference you’re looking at online in a couple of clicks.

How do I add the Zotero tab to the Word ribbon?

When you install Zotero Desktop on your computer, the Word Plugin should automatically install on your computer. The Zotero tab appears in Word when you open a new Word document. if this does not happen automatically you can install the Word plugin manually:

Can I duplicate a record in my library?

Yes, it is t possible to duplicate a record in your library. You might have a need for this if, for example, you want to have separate records for different sections or chapters of the same book.

To duplicate a record:

  • Select the item you want to duplicate and right click.
  • From the list of options select Duplicate Item

Does UCL have an institutional subscription to Zotero? 

UCL does not have an institutional subscription to Zotero. Some Faculties make their own arrangement to provide their researchers with a Cloud storage on Zotero.

Are there storage limits with a free Zotero account?

Zotero provides 300MB of free online storage to synchronise your Zotero files and libraries. You can upgrade your Zotero Storage plan and purchase more space by selecting the Upgrade Storage button on the Zotero website.

You can always save an unlimited number of files to your local Zotero library, with or without Zotero Storage.

I have used my UCL email to register for Zotero, what will happen after I leave UCL?

You can replace the UCL email address with another one.

  • Log in to your Zotero online library.
  • Click on your username and select Settings. You will be redirected to the Zotero settings page.
  • Click on the Account tab.  
  • Scroll down the page to Manage email addresses. You will see your current email address listed as Primary.
  • Add the new email address in the box provided then click Add. You will be sent a verification email.
  • Once the new email address has been verified, it will appear on your list of addresses.
  • Click on the Set Primary hyperlink to change to the new email address.

Can I use Zotero to find a PDF file stored on my computer?

Yes, you can take PDF files stored on your computer and import them into your Zotero library.

Can I import my EndNote library into Zotero?

Yes, you can. However Zotero can't directly import “.enl” EndNote libraries, so the first step is exporting your library from EndNote. 

EndNote to Zotero

To export your EndNote library for use in Zotero:

  • Click "File" and then "Export." Set the output style to "RefMan (RIS) Export" and save it as a text file.

In Zotero,

  • Go to File.
  • Select Import, a dialog box will open: Where do you want to import from?
  • Keep the default option: A file (BibText, RIS, Sotero RDF, etc. and click Next 
  • In the new dialog window, navigate to the location on you computer, where you have exported your EndNote library.
  • Select the file and click Open. 
  • In another dialog box titled Options, you can select to import the library in a new collection and under File Handling you can decide how you want to store the files. Click Next and the EndNote library will be imported into your Zotero library.

How can I standardise my titles so that they are all in Title Case?

Although many citation styles do this automatically, some journals use 'Title Case' and others use 'Sentence Case' in how they publish journal articles. We recommend that you standardise the titles in your bibliography.

To do this, right-click on the title field, you can change 'Transform the Text' and Change the case:

Can I use Zotero to import references from Law databases?

It's only possible to export some types of reference from Law databases:

  • It's not possible to export references to case law and legislation. These need to be added manually.
  • It's not possible to export from Lexis Library to any of the three reference management packages we support (Zotero, EndNote, Mendeley) only RefWorks.
  • It's not possible to export book references from Westlaw UK, only journal articles.
  • To export from Hein Online, you need to create a MyHein account first.

Can I see to which folders I have added my references?

Yes it is possible, to view to which collections you have added your references:

if you are using a PC or laptop:

  • In My Library: select the reference you want to check.
  • Then hold down the 'Ctrl' key on your keyboard. 
  • The collections that have the reference will be highlighted in yellow.

If you are using a Mac:

  • Select the reference you want to check.
  • Then hold down the 'Option' key, this will highlight the collections that contain the selected reference.
