Best Practices for UCL LibGuides

Guidance on how to create and maintain a profile page, as well as how to hide it for those that don't want their profile pages to be public.

What are profile pages?

Everyone with a LibGuides account automatically has a profile page. It includes:

  • your profile box (left column)
  • space for an optional, free text, personal statement (top of the central column)
  • a list of LibGuides that you own (central column)
  • a list of your subject specialties (right column)

Profile pages are designed for individual subject specialist librarians to bring together information about the subject areas they support. We recommend that other staff with LibGuides accounts disable their profile page. Instructions on how to do this are provided in the Access your profile page section below.

Note: we have looked into it, but it isn't currently possible to create profile pages for teams.

Access your profile page

On the LibGuides home page, in the editing interface, you'll see your profile box on the right hand side.

  • Click on the edit icon at the top right of the profile box.
  • Select the Profile Page tab underneath the words 'My Profile' at the top of the page
  • Check if your page is enabled or disabled - if you aren't a subject specialist, or if you are making edits to your page and want to make it temporarily unavailable, ensure that the Disabled button is checked under Page settings. 

Note: staff with editor level accounts are not able to disable their own profile pages and only the LCCOS web-support team are able to do this on their behalf. In these cases, please contact the LCCOS web-support team to request that they disable the profile page.

Profile Box (left column)

Your profile box automatically appears in the left hand column of your profile page (it is the same profile box that appears in your subject guide/s). If you'd like to customise it further, (e.g. by adding pronouns, changing the photo, adding links to relevant social media accounts) you can do that by going back to the Profile box tab at the top of the page.

Personal statement (optional)

The personal statement is an optional feature, which will appear at the top of the central column, if you choose to use it. You can provide users with more information about the support you provide here. If you prefer not to add any text, you can leave it blank.

If you want to include a hyperlink in the personal statement, either to an e-mail address or a website, you can just type the html as follows:

My Guides

Any guides that you own appear here automatically. If you are also the owner of a skills guide/s these will appear here. If you don't want them to show, you can transfer guide ownership of your skills guide/s to Angela Young, with you as the guide editor. This will still enable you to edit the skills guide as normal.

Guides that have been authored by more than one subject specialist, will only appear on the profile page of the person who is the guide owner. However, there is way for other subject specialists to get it to appear on their profile page, via a redirect from another guide that they do own. If you are the co-author of a guide but not the guide owner, and you want to do this, please contact Lindsay Ure, who will create a new subject guide for you, with a redirect, specifically for this purpose. 

Subject specialties

In the right hand column you can list your subject specialties. This is optional, but a good way of providing more detail on the subject areas you support.

In summer 2022 we updated the subject categories based on feedback from Subject Liaison Librarians and Site Librarians. The most recent list of subject categories is available via the Subject Guides training and support Team space.

Currently, only admin users of LibGuides can allocate subject specialties, although we'll look into whether this can be opened up to liaison colleagues. For now, you can contact Lindsay Ure to request that subject specialties be added to your profile page.

Note: we've been asked if the term 'Subject specialties' can be changed. It is the terminology used in LibGuides, and not our choice. We recommend using the personal statement section to provide more information about your role if you're concerned that it doesn't accurately reflect your knowledge of the subject areas you support.
