Registering and Joining the Conference

The conference will be held on Zoom and we recommend you register in advance using the link below. Don't worry if you forget - you can register up to the day of the conference, including after it's started, and you'll be able to join straight away using the link provided.

We'd also recommend you download Zoom if you don't already have it available on your computer, or make sure you can join in your browser if you can't download it, for example if you're on a UCL computer. See Zoom FAQs below for information about joining in a browser, "I can't download Zoom, what should I do?". UCL have a corporate licence for Zoom so you can create a UCL account and log in using UCL single sign on (SSO on the login page).

Zoom FAQs

  • I can't download Zoom, what should I do?
    You can also join in a browser. If you'd like to download to your computer at home but are having problems make sure you follow the instructions and you can contact ISD Zoom help if you need to.
  • How do I register?
    Click on the registration link and fill in your name and email address. You'll get an email to your email address with the Zoom link to use on the day and there's also an option to add it to your calendar. Lost the email? We'll also be sending the link out on the day to everyone who has registered. You can register anytime, including the day of the conference and after the official start time.
  • I forgot to register and the conference is starting now, what should I do?
    Just go to the registration link and fill in your details and once you've pressed submit there will be a link to join straight away. 
  • The link for the conference isn't working or I can't join for another reason, can I get help?

  • I'm logged into my personal Zoom account rather than my UCL one, is that ok?
    Please register with your UCL email address, but if you're logged into your personal Zoom account, that's fine and you'll still be able to join the conference using the link.
  • How do I test my microphone and camera?
    While we would ask you remain on mute during the conference to reduce background noise, there will be an opportunity to unmute during part of the programme when you can meet your LCCOS colleagues in virtual Zoom rooms. So we would recommend testing your microphone and camera before you join the meeting. You can do this any time after you have downloaded Zoom. 
  • Do I need to put my camera on? Can I hide my background if I do?
    If you'd like to put your camera on during the main conference you can, but you don't have to. You may want to put your camera on when we go into small groups to virtually meet your LCCOS colleagues. If you'd like to hide or blur your background this is easy to do. Find the camera icon (usually at the bottom of the screen) and click the small upward pointing arrow next to it - select 'Blur background' or 'Choose virtual background'. There are some preloaded virtual backgrounds you can use and there's an opportunity to preview them here before you turn them on. 
  • I've joined the Zoom call but my name isn't showing up correctly, can I change it?
    Click the participants option (this is usually at the bottom of the Zoom screen) and it will open the list of everyone in the meeting. In the list of participants, hover over your name in the list - there should be an option to rename. Don't worry if you can't change it though. 
  • I'm finding the videos distracting, what can I do?
    It's possible to turn off all incoming video and you will still be able to hear audio of the speaker and see shared screens such as PowerPoint - no-one will be aware you have done this.
