Guide to using EndNote reference management software

Groups

You can organise your references into groups, displayed on the left of the Library. By default you will have an All References group, a Trash group, where deleted references are held before they are permanently removed, and an Unfiled Group.

  • To create a group, click on the + sign next to MY GROUPS in the left hand menu and select Create new group. You can also create group sets.
  • To add references to your group, click on All References, select the references you want to add to the group and click on the Add selected references to groups button (a black folder containing a white arrow pointing to the right) at the top of your list of references. Choose the group and click on Add to group.
  • To view the references in a group, select that group from the list on the left. You can then also delete references from the group showing by selecting the reference and clicking the Remove selected references from group button (a black folder containing a tick and a cross) at the top of your list of references.

Groups are a way of viewing a selected group of your references. If you delete a reference from a Group it will remain in All References because all you have really done is remove it from the selected group.

To share Groups with any other EndNote user, so that you all have access to the same set of references for collaborative working, or access a Group another user has shared with you, use EndNote desktop or EndNote Online Classic.

In EndNote Online Classic:.

  • On the Manage My Groups tab, click on Manage Sharing for the group you want to share.
  • You can then invite others by email, and choose whether to give them read only or editing rights to references in the group.
  • File and figure attachments cannot be shared.

If another EndNote user chooses to share their group with you, this will be shown under the Organize menu in EndNote Online Classic, under the Others’ groups tab. You will also see the group listed in the left pane under Groups Shared by Others, on the My References tab.

Searching your library

You can search your library using the search box available at the top of the screen. Ensure you have selected All References, or the relevant Group if you wish to search within a Group.

To search within a particular field, hover over the column title for that field and click on the hamburger icon (three horizontal lines) to make a search box appear.

Deleting references

Delete references by selecting the box(es) and then clicking the Move selected references to trash button (trash can icon) above the list of references. The references are moved to Trash where they will remain until the Trash folder is emptied.

You can retrieve references from the Trash by clicking on Trash in the left hand menu, selecting the references you wish to retrieve and clicking on the Restore selected references from Trash button (trash can containing upwards arrow icon).

Note: When sending references from a Group to Trash, the reference is removed from the Group and deleted from your EndNote library.
